This privacy policy explains how Tennis School International (TSI) collects and uses your personal data when you visit our website, contact us, book a trial or register for lessons. We keep it short and clear. If you have a question, email us at info@tennisschoolinternational.com.
1. Who we are
- Tennis School International (TSI) is a sole proprietorship (eenmanszaak) registered in the Netherlands. TSI is responsible for your personal data (the “controller” under the GDPR).

2. What personal data we collect
- Contact details: name, email address, phone number and, if needed for invoices, your address.
- Account and booking details: your Player Portal account, the lessons, courses and packages you book, attendance, make-up vouchers and reschedules. We also keep our own customer records with your contact details and lesson history, to run the school.
- Tennis details: your level or stage, and notes from your coach about your progress.
- Payment details: what you paid, when, and for what. Card and bank details are handled by Udio and its payment provider. Your card may be saved in your Player Portal profile for future payments, until you remove it. TSI does not see or store your full card details.
- Details about children: for students under 18, the name and age of the child and the contact details of the parent or guardian.
- Health information: only if you choose to share it with us. See section 4.
- Photos and videos: taken during lessons and events. See section 6.
- Messages: what you send us by email, WhatsApp, social media or through our contact form.
- Website data: technical data such as your IP address, browser type and the pages you visit, collected by our website host and the Player Portal. See section 11.
3. Why we use your data, and on what legal basis
The GDPR only allows us to use personal data when we have a legal basis. These are our purposes and the legal basis for each:

Service messages (for example about weather cancellations) are part of your lessons. Promotional emails are always sent separately and you can unsubscribe from them without affecting your lessons.
4. Health information
- Sharing health information is voluntary. We do not ask for it unless it matters for your safety during lessons.
- If you tell us about an injury or health issue, we first ask your explicit permission before we record or use it, for example by email. We do not treat simply sharing it as permission.
- We only use it to keep you safe during lessons and to handle your lessons, for example an injury break. Only TSI and your coach can see it.
- You can withdraw your permission at any time by email to info@tennisschoolinternational.com. We then stop using the information and delete it, including copies in emails and coach notes. The only exception is if we need it to handle a legal claim. If so, we tell you.
5. Children
- Our lessons are for players from age 6. For students under 18, a parent or legal guardian normally completes the registration and gives the details and permissions we need.
- We use children’s data for the same purposes and on the same legal basis as for adults, for example to perform the agreement for their lessons.
- Where permission is needed for a child under 16, for example for publishing photos or videos, Dutch law requires permission from a parent or legal guardian. We ask for this separately. Taking part in lessons never depends on it.
- Parents and guardians can use the rights in section 13 on behalf of their child by emailing info@tennisschoolinternational.com. We may check that you are the parent or guardian, and we take the child’s own interests into account.
6. Photos and videos
- Our coaches sometimes take photos and videos during lessons and events.
- We only publish photos or videos in which you can be recognized, for example on our website or social media, if you have given permission. We ask for this separately before publishing. Saying no does not affect your lessons in any way.
- Someone can also be recognized by things other than their face, such as their clothing, name, or the place and context. If we are not sure whether someone can be recognized, we ask for permission or do not publish.
- You can withdraw your permission at any time by email to info@tennisschoolinternational.com. We then stop using the photos or videos in new publications and remove them from our website and social media where possible.
- Coaches may also film a lesson to show you your technique. These videos are only shared with you and are not published without your permission.
7. Who we share your data with
We do not sell your personal data. We only share it with the parties we need to run the school:
- Our coaches: the coaches who teach you, including independent coaches (freelancers), see your name, contact details, level and lesson details. They may only use this for your lessons, on behalf of TSI.
- Udio (Player Portal and TSI Player App): our booking and registration system, which stores your account, bookings, payments and any saved payment card on behalf of TSI.
- Payment providers: to process your payments and refunds securely, such as Stripe.
- Email and website services: our email provider and our website host (WordPress.com).
- Our accountant and bookkeeping software: to keep our financial records and file tax returns.
- Tennis clubs: only when needed, for example to book courts or to check club membership for outdoor lessons.
- Authorities: only when the law requires it.
Service providers that process data on our behalf may only use it for TSI, and must keep it safe and confidential. We have data processing agreements with them where the law requires it. Some providers, such as payment providers and our accountant, may also have their own legal duties and then act under their own privacy policy for that part.
8. Data outside the European Economic Area
- Some of our service providers process or access personal data outside the European Economic Area (EEA). For example, Udio is based in Australia, and some email, payment and website services are based in the United States.
- When this happens, we use a transfer mechanism allowed under the GDPR. This is either a decision by the European Commission that covers the recipient (for example, for US companies certified under the EU-US Data Privacy Framework), or the standard contractual clauses approved by the European Commission, with extra measures where needed.
- The safeguards depend on the provider and the country. Email us at info@tennisschoolinternational.com for more information about a specific transfer, or to receive a copy of the safeguards where this is possible.
9. How long we keep your data
We do not keep your data longer than we need it. In rare cases we keep data longer, for example when the law requires it or during a complaint or dispute.

10. How we protect your data
- Our website and the Player Portal use an encrypted connection (HTTPS).
- Only people who need your data for their work can access it. Coaches only see the details of their own students.
- Our accounts and devices are protected with strong passwords and, where available, two-step login. This also applies to the customer records we keep ourselves, for example in spreadsheets or phone contacts.
- If something goes wrong with your data, we act quickly and inform you and the Dutch Data Protection Authority when the law requires it. If you think your data is not safe with us, email us at info@tennisschoolinternational.com.
11. Cookies
- Our website does not use tracking or marketing cookies. That is why there is no cookie banner.
- We only use what is needed for the website to work, and privacy-friendly statistics from our website host (WordPress.com) to see how the website is used. These statistics are not used to follow you on other websites.
- The Player Portal may use necessary cookies, for example to keep you logged in.
- If we start using cookies that need your permission, for example from embedded videos or social media, we will ask for your permission first and update this policy.
12. Social media
- We are on Facebook and Instagram. If you follow us, send us a message or react to a post, these platforms also process your data under their own privacy policies.
- We only use what you share with us there to answer you or to run our pages.
13. Your rights
Under the GDPR, you have the right to:
- View the personal data we have about you.
- Correct data that is wrong or incomplete.
- Delete your data when we no longer need it, or when you withdraw your permission. We may keep data we must keep by law, such as invoices.
- Limit how we use your data in some situations.
- Receive your data in a common file format, or have it sent to another organization.
- Object to the use of your data based on our legitimate interest, including marketing emails.
- Withdraw your permission at any time, where we use your data based on permission. This does not affect what we did before you withdrew it.
- Complain to the Dutch Data Protection Authority (see section 14).
To use your rights, email us at info@tennisschoolinternational.com. We may ask you to confirm your identity first. We reply within one month. For complex or many requests, this can be extended by up to two more months. If so, we tell you within the first month.
We do not make decisions about you based only on automated processing.
14. Complaints
- If you are not happy with how we handle your data, please contact us first at info@tennisschoolinternational.com. We will do our best to solve it.
- You also have the right to file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
15. Changes to this policy
- We may update this privacy policy, for example when we start using a new service. The latest version is always on this page, with the date it was last updated.
- If a change is important for you, we inform current students by email.
